Job Description: We are currently seeking a highly organized and detail-oriented Assistant to join our team and support the daily operations of our busy office. As the lead assistant you will be responsible for keeping daily task organized, appointment setting, and client relations. You will play a crucial role in ensuring the smooth functioning of our business and maintaining strong relationships with our clients.

Responsibilities:

  • Manage and maintain the executive's calendar, scheduling appointments, meetings, and events efficiently
  • Coordinate and arrange travel accommodations, including flights, hotels, and transportation
  • Monitor and respond to emails, phone calls, and other forms of communication promptly and professionally
  • Assist in preparing documents, presentations, and reports as required
  • Act as the point of contact for clients, providing excellent customer service and addressing inquiries or concerns
  • Nurture client relationships by proactively following up, providing updates, and ensuring client satisfaction
  • Assist with organizing and coordinating company events, conferences, and seminars
  • Conduct research and gather information as needed to support decision-making processes
  • Maintain confidentiality and handle sensitive information with discretion
  • Perform general administrative tasks, such as filing, data entry, and record keeping

Qualifications:

  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively
  • Strong attention to detail and accuracy in all tasks
  • Exceptional written and verbal communication skills
  • Proficient in using productivity tools, such as calendar management software, power point, Canva and MS Office Suite
  • Ability to work independently and collaboratively in a fast-paced environment (Must be flexible in regards to task assignments with ability to multi-task).
  • Outstanding interpersonal skills and ability to build positive relationships with clients and team members
  • Professional and polished demeanor with a customer service-oriented mindset
  • Discretion and trustworthiness when handling confidential information
