Auto Assist Group is a group of mobile mechanics and workshops providing vehicle repairs to customers both in fully equipped workshops and roadside. We provide on-site maintenance and repair services to our valued customers, ensuring their vehicles are in optimal condition.

We are a friendly, busy team going through an exciting period of growth and are seeking a highly organised and responsible PA/Office Administrator to join us on the journey.

The role will include:

  • Full PA support to our CEO: No 2 days will be the same! You’ll need to be comfortable creating and maintaining organisational systems to keep the team running through calendar and task management
  • Meeting management: scheduling and organising office meetings, preparing meeting agendas, and taking minutes during the meetings, ensuring they are distributed to all participants post-meeting
  • Fleet Administration: Managing our fleet vehicles from arranging VAT to arranging licence plates.
  • Human Resources: Assisting with the recruiting process by creating job descriptions, posting job ads, screening resumes, scheduling interviews, and participating in the selection process. You’ll also handle HR-related functions, such as onboarding new hires and maintaining employee records.
  • Finance/Accounts administration: Assisting with financial tasks including bookkeeping, VAT submission, and reconciliation of finances. You’ll also support with managing the payroll for engineers, ensuring all employees are paid accurately and on time. You’ll oversee and manage petty cash, ensuring funds are used appropriately and all transactions are recorded accurately.
  • Uniform & Stationary ordering
  • Reports Generation: Creating regular reports and update internal databases as necessary

You’ll be a highly motivated, proactive individual who has excellent communication skills and is able to predict the needs of the team and take the initiative without always needing supervision.

You will be a central figure in ensuring our office operations run smoothly and efficiently so this role is crucial in maintaining an organised and productive working environment.

To be successful in the role, you’ll have previous experience in a similar PA and Administration role with good knowledge of office management systems and procedures.

You’ll also have:

  • Strong planning and organisational skills – you should know your way around reminder tools, keeping our CEO informed about essential meetings and tasks.
  • A proactive and resourceful approach to work
  • Excellent communication skills – you’ll be dealing with the team, partners, and clients on the CEO’s behalf
  • Strong time management skills to ensure you making the most of each day
  • Attention to detail - we need someone who's super attentive to avoid missing any important details.
